Patient Financials
Patient payments, informed financial elections and consents.
Collect patient payments, support informed elections and digitise financial consent and HC21 forms. Start with the solution your hospital needs now, including invoice payments alone, without implementing the full epi-me Patient Portal.
The right workflow for the moment that matters.
Financial needs arise at different points in care. Your hospital might want patients to pay an invoice online, understand a proposed election, review a fee estimate, complete informed financial consent, or sign an HC21 claim form. epi-me helps you digitise the steps that matter to your service, individually or as a connected journey.
Features
Mobile-first – Convenient and secure access via all modern browsers on any internet-enabled device. No downloads required.
‘Guest’ access – Patients without an epi-me account can be invited to authenticate themselves and access specific workflows, providing a universal solution for all of your patients.
One user, multiple patients – Carers or family members can engage on a patient’s behalf.
Service branding – Personalised look and feel reflecting your brand identity and emanating trust. Simply provide your brand kit and a stock image, and we’ll do the rest.
Save and go – Patients can pause and resume forms without losing their progress. Automatic SMS and email reminders prompt completion.
Smart questionnaires – Questions dynamically show and hide based on patient criteria, meaning only relevant questions are asked. Answers copy forward to future visits for review or update.
Inline self help and support – Contextual tooltips, instructions, and FAQs address common questions. In-app enquiries and contact details for phone or email support are available where needed.
eSignatures – Easily capture consents and declarations using two factor authentication.
Automated reminders – Configurable SMS, email and in-app notifications can be scheduled to maximise patient uptake and support delivery of additional patient resources.
Visit Worklist – Centrally view all patient visits as they are being synchronised with the patient administration system and EMR, including current status and required portal interventions.
Communication centre – Template and schedule SMS and email reminders to automatically keep patients on track. Triage, delegate, and respond to patient chats to reduce pressure on phone and email channels.
Self service administration – Manage configurable content such as online form question sets, tooltips, and instructions. More complex changes are delivered through EpiSoft’s regular release cycle.
Patient Elections – Invite patients or their proxy to complete informed election forms for both unscheduled emergency admissions and ordinary scheduled admissions at public healthcare services.
Informed Financial Consent / quoting – Support accreditation and patient experience requirements by enabling automatic import or manual creation of fee estimates. Patients can eSign estimates and insurance claim forms in line with Australian electronic signature guidelines.
Gap payments – Following fee estimate acknowledgement, patients can be optionally directed to a secure, embedded payment gateway to pay any gap that is owing.
Incidental pre authorisation – Using secure token technology, patients can opt to ‘tokenise’ their payment method which can be automatically used to process payments up to a set amount for lower value, ‘hard to chase’ incidentals such as crutch rentals or discharge medications.
Other invoice payments – The same payments integration can be used to capture payment for any patient invoice at your healthcare service.
Integrated refunds – The platform also functions as a virtual merchant terminal, allowing staff to capture payments, process tokens, and initiate refunds – manually or via billing system integration.
Compliance – Track how many forms are started, submitted, or pending.
Transaction receipting – Streamline accounts receivable and finance processes with frontend reporting as well as integrated receipts and settlement data.
Audit trails – See when data was entered, submitted, or modified.
Export to CSV/Excel – Enable offline analysis or ingestion into reporting and analytics tools.
Hospital single sign on – Enterprise-grade authentication using SAML protocol.
Patient multi-factor authentication – Added security layer via email or SMS to protect personal health information.
Role-based access control – Limit access to features and patient data by role to support intuitive interfaces and minimal training requirements.
Consent capture – Digital consent mechanisms ensure legal and ethical compliance.
Secure data storage – All information stored within local data centres in accordance with data sovereignty requirements.
Audit logging – End-to-end traceability of user actions for compliance and governance.
Payment gateways – PCI Level 1 implementations of industry-leading gateways, including our payment partners PayPal and Medeor.
XML and HL7 messaging – Standard and custom interfaces to meet PAS, EMR or billing system integration requirements.
Print-friendly PDF generation – All form data rendered in clear, legible PDF format including your service’s medical record form colour coding, barcodes and logos.
Custom integrations – Custom interfaces for advanced integrations.
Data warehouse transfer – Scheduled exports to your hospital’s analytics environment.
Outcomes
Finance & revenue
Accelerate cash flow and reduce bad debt.
Optimise upfront revenue collection by enabling patients to make elections, review Informed Financial Consent (IFC) and pay out-of-pocket costs in a manner compliant with the Private Health Guidelines.
Achieve up to 80% online prepayment on accommodation gaps and capture tokenised payment pre-authorisations for post-discharge incidentals.
Healthcare service providers report that post-discharge incidental collection alone can offset full platform implementation costs within 2–3 years.
Patient Services & Admissions
Streamline administrative workflows and reduce manual chasing.
Eliminate manual paper elections and fee estimates, data re-entry and admission bottlenecks.
Digitised, patient self-service financial registrations relieve administrative staff manually collecting data in the high-pressure time window leading up to admission.
Data can be automatically synchronised back to the Patient Administration System in real-time using health-messaging standards.
Patient Experience & Satisfaction
Deliver clear, transparent, and stress-free care journeys.
Provide transparent out-of-pocket cost estimates and flexible digital payment options (including buy now, pay later) well ahead of care, removing financial anxiety for patients, families and carers on the day of admission.
